The Administrative Assistant provides administrative, operational, and employee support for a 24/7 industrial metals manufacturing facility. Reporting to the Plant Manager with matrixed accountability to the onsite HR Business Partner, this position serves as an important point of coordination among plant leadership, employees, visitors, candidates, community partners, and other stakeholders. The role supports plant operational reporting, employee data administration, onboarding, visitor coordination, recruiting and engagement activities, and general employee support. The Administrative Assistant is expected to maintain a visible presence throughout the facility, including regular shop floor line walks and interaction with employees and leaders across departments and shifts.
Responsibilities
~1 min read- Prepare, compile, maintain, and distribute recurring plant operational reports, dashboards, presentations, meeting materials, and other business information.
- Collect information from plant departments and assist with ensuring operational reports are complete, accurate, and delivered on schedule.
- Provide administrative support to the Plant Manager and plant leadership team, including meeting coordination, communications, document preparation, and other administrative activities.
- Maintain organized electronic and physical records in accordance with company requirements.
- Handle confidential and sensitive business and employee information with appropriate discretion.
- Coordinate plant visits and serve as a point of contact for visitors, candidates, vendors, community partners, and other guests.
- Coordinate visitor logistics, including scheduling, meeting arrangements, required documentation, site access coordination, and communication of applicable safety and security requirements.
- Partner with Operations, EHS, Security, HR, and other functions as appropriate to provide a professional and well-coordinated visitor experience.
- Plan, coordinate, and execute employee engagement activities, recognition events, plant celebrations, community outreach activities, and other site events.
- Support events and initiatives designed to strengthen employee engagement and the plant's relationship with the Huntsville community.
- Coordinate event logistics, communications, vendors, materials, food, facilities, schedules, and participation as needed.
- Support events across shifts so employees working nights, weekends, and alternative schedules have opportunities to participate.
- Support onsite recruiting activities, including job fairs, hiring events, candidate visits, interviews, community recruiting events, and other talent acquisition initiatives.
- Coordinate candidate and new-hire logistics with HR, hiring managers, and other stakeholders.
- Support employee onboarding activities, including new-hire orientation scheduling, preparation of onboarding materials, coordination with plant departments, and completion of required administrative activities.
- Help create a welcoming, organized, and professional onboarding experience for new employees.
- Assist with onboarding activities across shifts when necessary.
- Accurately enter and process employee data and personnel transactions in applicable HR and business systems.
- Process approved employee changes such as department transfers, pay rate changes, shift or schedule changes, job or position changes, and other employee data updates.
- Verify appropriate documentation and approvals before processing employee transactions.
- Maintain accurate records and protect confidential employee information.
- Partner with the HR Business Partner, Payroll, Operations, and other appropriate resources to resolve data discrepancies or transaction issues.
- Serve as a back-up point of contact for employees seeking assistance when the onsite HR Business Partner is unavailable.
- Listen professionally and respectfully to employee questions and concerns, gather relevant information, and connect employees with the HR Business Partner or other appropriate resource.
- Provide employees with routine information regarding established company processes, resources, and points of contact within the scope of the position.
- Promptly escalate employee relations matters, complaints, allegations, safety concerns, requests for accommodation or leave, potential policy violations, or other sensitive matters to the HR Business Partner or appropriate company resource.
- Maintain appropriate confidentiality and exercise sound judgment when handling employee information.
- This role provides intake and routing support; it does not independently conduct employee relations investigations, make employment decisions, or interpret company policy unless specifically authorized and trained to do so.
- Maintain a regular presence throughout the facility and develop effective working relationships with employees, supervisors, and plant leadership.
- Participate in shop floor line walks with plant leadership and/or HR to increase visibility, understand plant activities, and identify employee or administrative support needs.
- Follow all plant safety requirements, including required personal protective equipment and procedures applicable to production areas.
- Support plant communications and other activities that require interaction with employees on the shop floor.
- Periodically adjust work hours to interact with and support employees on all shifts.
Minimum Qualifications
- High school diploma or GED required.
- Three or more years of administrative, office, operations, HR support, or comparable experience.
- Demonstrated proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
- Experience entering, maintaining, or auditing information in business or HR information systems.
- Strong organizational skills and demonstrated attention to detail.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Strong written and verbal communication skills.
- Ability to interact professionally with employees at all organizational levels.
- Demonstrated ability to handle sensitive and confidential information appropriately.
- Ability and willingness to work occasional nights, weekends, or adjusted schedules to support a 24/7 manufacturing operation.
- Ability and willingness to work in both office and industrial manufacturing environments and regularly enter production areas.
Requirements
~1 min read- Associate degree or higher in business administration, human resources, communications, or a related discipline.
- Previous administrative or HR support experience in a manufacturing, industrial, distribution, or other 24/7 operating environment.
- Experience with HRIS, payroll, timekeeping, or employee data systems.
- Experience coordinating employee events, recruiting events, community activities, or new-hire onboarding.
- Experience supporting hourly production or skilled-trades workforces.
