As Shamal Holding continues to grow, we’re in search of an Executive Assistant - (Design and Strategic Projects). The purpose of the role is to support the Design and Strategic Projects team within the CEOs Office, this involves a comprehensive range of tasks that support the team’s ability to operate effectively.
Responsibilities
~1 min read- →Manage calendars, meeting schedules, travel arrangements, and logistical requirements for the Design & Strategic Projects team.
- →Coordinate and schedule design review workshops, team meetings, project meetings, and other departmental activities, including agenda preparation and follow-up on action items.
- →Provide administrative support to the Design & Strategic Projects and Design & Development teams, including managing communications, drafting correspondence, coordinating approvals, and supporting routine processes.
- →Act as a key point of contact for internal and external stakeholders, ensuring requests are coordinated and followed up in a timely manner.
- →Maintain accurate records, filing systems, meeting documentation, and departmental correspondence.
- →Coordinate hospitality, venue bookings, visitor access, parking arrangements, and other logistics for meetings, workshops, off-site events, and visiting stakeholders.
- →Support the administration and tracking of departmental documentation, approvals, and other operational requirements.
- →Provide ad hoc administrative and operational support to the Design & Development function and undertake other duties as assigned.
- →Handle confidential and sensitive information with discretion and professionalism.
Requirements
~1 min read- Minimum 5 years of experience providing executive support to C-suite executives, senior leadership teams, or business functions requiring complex calendar management, stakeholder coordination, and confidential administrative support.
- Bachelor's degree in business administration, management, or a related field.
- Proven experience in an executive support role, preferably in a fast-paced corporate environment.
- Excellent organisational and multitasking skills, with the ability to prioritize tasks and meet deadlines effectively.
- Strong communication and interpersonal skills, with the ability to build relationships and collaborate with diverse stakeholders.
- High level of discretion and integrity, with a demonstrated ability to handle confidential information appropriately.
- Proficiency in Microsoft Office Suite and other productivity tools.
