The selected candidate will serve as the first point of contact for patients, visitors, and external stakeholders. The role is responsible for delivering exceptional customer service, managing front desk operations, coordinating appointments, handling enquiries, and providing administrative support to ensure the efficient running of the clinic.
Responsibilities

Answer, screen, and direct incoming telephone calls promptly and professionally.
Respond to patient enquiries and provide accurate information regarding clinic services and procedures.
Schedule, confirm, reschedule, and cancel patient appointments.
Register patients and ensure all required information is complete and accurate.
Manage patient check-in and check-out processes efficiently.
Maintain accurate patient records while ensuring confidentiality at all times.
Process payments, issue receipts, and assist with billing or insurance enquiries where applicable.
Perform data entry, filing, scanning, and general administrative duties.
Maintain a clean, organized, and welcoming reception and waiting area.
Monitor reception and office supplies and request replenishment when required.
Liaise with doctors, nurses, and other departments to facilitate smooth patient flow.
Communicate appointment changes or delays to patients in a timely manner.
Prepare routine administrative reports and documentation as required.
Receive, sort, and distribute incoming mail and deliveries.
Comply with hospital policies, procedures, quality standards, and confidentiality requirements.
Demonstrate professionalism, courtesy, and a positive attitude when interacting with patients, colleagues, and visitors.
Report operational issues, patient concerns, or complaints to the Line Manager.
Perform any other duties assigned by Management that are consistent with the role.
HSC or equivalent; a Certificate or Diploma in Office Administration, Business Administration, or a related field is an advantage.
Minimum of one year of experience in a receptionist or customer service role; healthcare experience is an advantage.
Proficiency in Microsoft Office and appointment scheduling systems.
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Professional, customer-focused, and able to maintain confidentiality.
Reliable, punctual, and a strong team player.
