About the Role: A leading company in the healthcare/telehealth sector is seeking a Virtual Telehealth Administrative Specialist to support daily telehealth operations and ensure a smooth, efficient experience for both patients and providers. This role is ideal for someone who is highly organized, patient-focused, and comfortable with technology, with the ability to manage multiple administrative tasks in a fast-paced remote environment. You will play a key role in coordinating referrals, onboarding patients, scheduling appointments, and maintaining clear and consistent communication across all stakeholders.
Responsibilities
~1 min read- →Process new client referrals and accurately enter data into the EHR system
- →Schedule patient appointments and send consent forms
- →Assist patients with portal setup and required documentation
- Guide and train patients on how to use telehealth platforms
- Ensure patients are prepared and able to attend virtual appointments
- Manage and fill provider schedules efficiently
- Support providers with care coordination and administrative needs
- Answer incoming calls professionally and in a timely manner
- Verify caller identity using required authentication steps
- Respond to emails, texts, chats, voicemails, and faxes promptly
- Share client engagement updates with referral sources
- Coordinate with medical record copy services for timely record processing
- Maintain accurate and up-to-date administrative records
- Follow company policies and procedures at all times
- Ensure confidentiality and proper handling of patient information
Requirements
~1 min read- 1–3 years of experience in a similar administrative, healthcare, or telehealth support role
- Experience working with EHR systems (AdvancedMD is a plus)
- Strong customer service experience with excellent communication skills
- Ability to manage multiple tasks in a remote work environment
- Bilingual in English and Spanish
- Comfortable using computers, telehealth platforms, and VOIP systems
- Strong interpersonal skills with patience and empathy
- Highly organized with strong attention to detail
