About the Role:
Our client is seeking a high-level, proactive Executive Assistant to serve as the right-hand to their Founder. This isn't just a scheduling role; it’s a "Director of Chaos" position designed for someone who can navigate the fast-paced, creative world of film and commercial production with poise, wit, and expert precision.
The ideal candidate will manage the complexities of 10–15 active directing and producing projects while ensuring the Founder maintains a healthy work-life balance.
Responsibilities

- →Production Pulse: Maintain a "bird’s-eye view" of 10–15 simultaneous projects in various stages (development, production, post).
- →Producer Liaison: Act as the primary point of contact for project producers; track milestones, identify bottlenecks, and ensure the Founder is briefed on critical updates before they become urgent.
- →Workflow Management: Utilize project management tools to keep tabs on deliverables, ensuring no creative or logistical detail slips through the cracks.
High-Level Inbox & Communication Management
- →Email Synthesis: Dive deep into a high-volume inbox to categorize, prioritize, and draft responses. You’ll need to distinguish between "needs action now" and "can wait until Friday."
- →Gatekeeping: Act as a professional yet approachable filter for incoming requests, ensuring the Founder’s focus remains on high-value creative work.
- →Client Relations: Serve as a warm, professional face for the company when interacting with Fortune 500 executives, agencies, and talent.
Strategic Scheduling & Boundary Protection
- →Calendar Architecture: Manage a complex, shifting calendar that accounts for shoot dates, edit sessions, and travel.
- →Personal Advocacy: Proactively "protect the person." You will be responsible for carving out and defending time for the Founder’s family, friends, and personal well-being, ensuring work doesn't bleed into essential downtime.
- →Logistics Mastery: Coordinate seamless travel and on-set logistics, often on short notice, ensuring the Founder is where they need to be with everything they need to succeed.
- Entertainment Savvy: You understand the rhythms of the industry—the "professional but not stiff" vibe. You can talk shop with a grip and hold your own in a room with a CMO.
- Anticipatory Logic: You don’t wait for instructions; you see a problem three days out and solve it before the Founder even knows it exists.
- Emotional Intelligence: You are great with people and can read the room, knowing when to push back and when to pivot.
- Discretion: You handle high-profile projects and personal schedules with the utmost confidentiality.
