The Department of Economic Security, Division of Aging and Adult Services, seeks an experienced and highly motivated individual to join our team as an Administrative Assistant 3. DAAS supports at-risk Arizonans to meet their basic needs and to live safely, with dignity and independence. Services and programs reach a diverse population of Arizonans.
Under general supervision, the Administrative Assistant will perform a variety of complex administrative tasks for the Finance and Business Operations (FBO) leadership including research, operations planning, special projects, coordinating internal data entry spreadsheets, managing various records and data points, and quality control to ensure work products meet defined quality criteria and requirements.
| Job Duties: |
Essential Duties and Responsibilities include but are not limited to:
• Coordinate administrative support for managers for various tasks and projects including quality control.
• Develop or modify procedures and forms to improve program effectiveness, including supporting the development of process maps for FBO
• Prepares a variety of data entry and operational reports and assisting with special projects and data entry.
• Coordinate routing processes, monitor communications and submit completed documents into appropriate web-based systems.
• Compose various and diverse correspondence and maintain meeting notes
| Knowledge, Skills & Abilities (KSAs): |
Knowledge of:
• Principles and practices of effective practices of administration and management of workflow
• Agency, division, and unit rules, regulations, and operating procedures
• Accounting and budgeting procedures & Standard office policies and procedures to perform discretionary tasks
• English grammar and spelling and mathematics
Skills in:
• Organizing and compiling data into required format
• Planning, prioritizing and managing workload to effectively and timely accomplish tasks
• Analyzing information, problem solving, and multi-tasking
• Using a variety of computer software packages (e.g., Excel, Word, PowerPoint, databases, Google Suite, etc.)
Ability to:
• Write clear, concise and accurate documents
• Develop and revise operating procedures
• Expediently extract correct data to populate system reports
• Plan, analyze, coordinate activities and correctly prioritize tasks in a dynamic work environment
| Selective Preference(s): |
The ideal candidate for this position will have:
• 5 years exp in admin support OR
• 3 years exp with an associate degree in public admin, business admin, or related field.
• Experience in dealing with multiple levels of management.
| Pre-Employment Requirements: |
• In-state travel may be required. Driver’s License Requirements. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
• Successfully pass background and reference checks; employment is contingent upon completion of the above-mentioned process and the agency’s ability to reasonably accommodate any restrictions.

State employees are required to participate in the Arizona State Retirement System (ASRS), the State sponsored retirement contribution plan and the Long-Term Disability (LTD) program after a 27-week waiting period.
