Our client is a fast-growing education and digital media company dedicated to helping aspiring medical professionals achieve academic and career success through innovative educational content, coaching, and online resources.

As the company continues to grow, they are seeking an exceptional Executive Assistant to serve as a trusted partner to the CEO, helping manage day-to-day operations, executive communications, strategic priorities, and organizational workflows.


We are seeking a highly organized and proactive Executive Assistant to work directly alongside the CEO in a fast-paced, high-performance environment.

This role extends well beyond traditional administrative support. You'll act as a strategic partner, helping the CEO stay focused on high-impact priorities by managing schedules, coordinating communications, organizing projects, tracking commitments, and ensuring critical initiatives continue moving forward.

Success in this position requires exceptional attention to detail, sound judgment, strong organizational skills, and the ability to anticipate needs before they arise. The ideal candidate thrives in an environment where precision, accountability, and initiative are highly valued.


Responsibilities

  • Manage and optimize the CEO's calendar to maximize productivity and focus.
  • Coordinate meetings, agendas, briefing materials, and follow-up actions.
  • Arrange domestic and international travel, accommodations, and supporting logistics.
  • Maintain organized documentation, digital filing systems, and executive records.
  • Track CEO-owned leads, commitments, and follow-up activities.
  • Coordinate meetings and scheduling with prospective partners, clients, and stakeholders.
  • Prepare executive briefing notes, meeting summaries, and supporting documentation.
  • Ensure action items and key deliverables are completed on time.
  • Draft, edit, and proofread professional executive communications.
  • Assist in supporting and monitoring the company's online community.
  • Respond to inquiries where appropriate and escalate priority matters.
  • Conduct research to support executive initiatives, presentations, and strategic decisions.
  • Coordinate project timelines, meetings, and cross-functional initiatives.
  • Track deadlines, deliverables, and project milestones.
  • Research vendors, software platforms, and business solutions.
  • Proactively identify potential risks or delays and communicate recommendations.
  • Maintain visibility across multiple priorities to ensure projects remain on schedule.

  • Minimum of 2 years' experience as an Executive Assistant or in a comparable executive support role.
  • Exceptional written and verbal English communication skills with near-native fluency.
  • Proven experience managing complex executive calendars and competing priorities.
  • Strong administrative, organizational, and documentation skills.
  • Experience drafting and editing professional business communications.
  • Proficiency with Microsoft Office and Google Workspace.
  • Experience using AI productivity tools such as ChatGPT, Claude, or similar platforms is highly desirable.
  • Ability to manage confidential information with absolute discretion and professionalism.

Your ability to anticipate needs, coordinate across teams, and consistently execute with accuracy will directly contribute to the CEO's effectiveness and the success of the organization
